Our Manager, Recruiting and Onboarding develops, plans and strategies with hiring managers to successfully recruit and hire a talented and diverse workforce. This position is responsible for conducting new employee orientation for all levels of employees. Additionally, this position manages departmental data entry, tracking and reporting of recruitment metrics and provides administrative and operational support to the Human Resources team. Reporting to the Assistant Director, Human Resources this position works closely and collaborates with a Park City, UT peer to manage talent across all offices.

Position works full time in our Los Angeles, CA office. Must be able to work extended hours, some weekends and holidays at key points throughout the year. Position may be required to travel and be lodged during off-site festivals, events and other Institute offices throughout the year.


Essential Job Functions and Duties:

Manages recruitment, including sourcing, assessing, interviewing and influencing talent for all levels of positions including regular ongoing and seasonal (200+).
Conducts targeted outreach and advertisements and provides advice on best practices to hiring managers.
Manages the interview process and assists hiring managers with scheduling.
Collaborates with HR Manager to annually review, update and establish festival and summer lab onboarding plans and content, includes booking conference rooms, ensuring tech trainers present valuable content by working in collaboration with tech, office admin, and festival and lab stakeholders.
Facilitates and conducts new and rehire orientation sessions as necessary, collaborating closely with HR Manager.
Creates content and conducts training sessions with newly hired managers (ongoing training as necessary), on the recruitment process, hiring, ATS, legal, best practices, culture, setting up new employees for success, etc.
Works with hiring manager to ensure job descriptions are written in legal form to ensure job clarity, expectations, essential functions and requirements are accurate and consistent with the market.
Works with hiring manager to write a marketable narrative job posting that attracts top talent.
Tracks and reports on HR recruitment metrics (cost per hire, time to fill, for the department and generates additional metric information as directed.
Builds a cohesive employer brand through creative and innovative approaches, working with marketing and members of the HR team.
Generates and issues new hire paperwork (offer letters, job descriptions, W-4, I-9, etc.) and ensures new employees complete and return paperwork in accordance with state and federal regulations.
Plans and manages the annual cycles for seasonal hiring (festival and labs) with internal stakeholders.
Serves as the department representative for Festival Operations team and provides timely procedural or programmatic updates to the rest of the HR department.
Manages accurate data entry into the festival logistics database i.e. staff names, titles, credential titles, staff ticket levels, etc. working closely with internal departments to ensure deadlines are met for a smooth onsite check-in process.
Collects relevant information from the team to organize and submit the department's Festival suggestions and wrap document to meet.
Generates, receives approval, and issues independent contracts.
Maintains online recruitment profiles, contact list of external recruiters for specific job functions, attends job fairs and develops other recruiting tools as necessary.
Conducts research to identify external recruiting firms to facilitate recruitment of executive and specialized roles as necessary.

Position Requirements:

Legal authorization to work in the United States.
Bachelor's degree.
3 years recruiting experience, with experience in high volume recruiting.
Strong administrative and recordkeeping skills.
Demonstrated ability to use sound judgment in decision-making.
Excellent presentation and training skills: polished, concise, catered messages to different audiences.
Ability to build strong relationships and problem solve with managers and employees at all levels to obtain successful outcomes and move the recruitment cycles forward.
Demonstrated knowledge of all Federal and applicable state employment laws.
Ability to manage sensitive issues and maintain confidentiality.
Detail oriented with excellent organizational skills, able to manage multiple projects and prioritize.
Excellent interpersonal and communications skills, both written and verbal.

Preferred Education, Experience and Skills:

PHR or SHRM-CP certification.
Knowledge of ADP Workforce Now.
